Travel and Hotel Information

Travel Support

We aim to make CUWiP accessible to everyone. All meals and accommodation during the conference are organized and the costs are met by CUWiP. You do not need to book or arrange accommodation on Friday or Saturday night. Travel to the conference is usually paid for by your home department. In cases where your own department, or other sources, can not cover the cost, there are funds available to provide support travel to CUWiP so no one has to miss out on CUWiP for financial reasons. In order to access those funds, please email cuwip[@]physics.gatech.edu to request travel support.


Travel costs will typically be reimbursed after the conference. Before you book a plane ticket, or any other travel ticket costing more than $100, you must first email the cost and itinerary to cuwip[@]gatech.edu to receive advance permission prior to incurring the cost. Significant costs which are not pre-approved may not be reimbursed.

If you require travel support, please email us requesting travel support by December 21th 2023.

In your request, please include the following:

  • A screenshot of the price and method of transport
  • The city you are traveling from
  • Suggested: evidence that your home department cannot offer travel support (ex: an email from the Chair)

Flying

Please plan to fly into the Hartsfield-Jackson International Airport (ATL), located just 13 miles south of the city.

Transportation To and From the Airport

We recommend taking the MARTA, Atlanta’s transportation service, both to and from the airport.

When arriving in Atlanta, follow signs for public transportation, and take the RED (North Spring Station) or the GOLD (Doraville) line to the Midtown stop. The airport is the final stop on these two lines. The fare is $2.50. You will need to purchase a Breeze ticket at the airport in order to ride. There are a few kiosks where you can purchase tickets. Take the train to North Avenue Station. From here, walk about 3 blocks north on Spring St. until you reach the Georgia Tech Hotel and Conference Center on your left.

Leaving to go to the airport, walk south along Spring St. until you reach the North Avenue Station. Take the GOLD or the RED line to the airport. The final stop for both of these lines is the airport. There are kiosks at the North Avenue Station to buy a ticket.

Useful Marta Links

Ubers and Lyfts are available to go to, or come from, the airport. The airport is about a 30 minute drive.

Hotel

Students will be staying at the Georgia Tech Hotel and Conference Center, located in Midtown Atlanta, just an 11 minute walk to the Georgia Tech campus.

Roommates

There will be two attendees per room, which will be chosen by you or randomly assigned. If accepted, you will receive a welcome email from us (cuwip[@]physics.gatech.edu) sometime in late November, which will include a link to a Google Form where you can make selections about your roommate. If you are travelling with someone and want to room with them, please indicate their name on your Google Form. Otherwise, we will randomly assign roommates based on your comfortability selections.

Parking

When you receive your welcome email from us, we will ask you a variety of questions, including your requests for parking.

Parking at the Hotel

While the hotel does not operate the parking garage connected to the hotel, discounted self-parking options are available onsite for $21 USD per night with in and out privileges (subject to change). For additional information, please contact the Georgia Tech Hotel and Conference Center Front Desk team at 404-347-9400. Valet parking is unavailable at this time. 

Parking on Campus

We will be able to provide daily parking vouchers for those who want to drive to campus. These vouchers are single entry, so you will only be able to receive one voucher per day. Please make sure to fill out the welcome email questionnaire indicating your need for parking.

In-Town Travel

To the Conference

There are many different ways to get to the Conference location from your hotel. Walking to and from the conference center is fairly straightforward. Walking west on 5th St. takes you directly to campus! We will be spending most of our time at the Clough Undergraduate Learning Commons. Here is a Georgia Tech interactive map that may come in handy.

You can also take Georgia Tech’s Stinger Bus. This is a free service that is available for anyone to use as they travel around campus. You can take the Gold route to and from campus, which you can pick up and get off right outside the hotel on 5th St.

Around Town

MARTA is also a convenient way for you to get around town. Here is a link to an interactive map you can use to see what routes are available and a link to their trip planner.

Meals

All meals throughout the conference will be provided to all attendees. This involves dinner on Friday, breakfast, lunch, and dinner on Saturday, and breakfast and lunch on Sunday. There will also be break times where attendees will have access to coffee, water, and light snacks. Any dietary restrictions will be accommodated.
